Tracking of Purchases

When an item is purchased it follows one of three (3) processes depending on its purchase price and type of item. All Purchases should have an RT Ticket generated:
1: If the item is under $2,000, and is not inventoried by CSS because it is parts or consummable, it will follow this procedure:
- The package is signed for by CSS Staff when it has been delivered.
- The ticket iStatus is updated to Received and the ticket is ammended by adding a comment to report: date, time and name of receiver.
- The packing slip is removed and a copy is made.
- The original packing slip is placed in the Business Office in-box for delivery to the the Fiscal Specialist.
- The packing slip copy is placed with the order and then delivered to the purchaser.
- The ticket is Resolved by ticket owner (CSS Inventory Person).
2: If the Item is under $2,000 and needs to be placed on the CSS Inventory this will happen:
- The package is signed for by CSS Staff when it has been delivered.
- The ticket iStatus is updated to Received and the ticket is ammended by adding a comment to report: date, time and name of receiver.
- The packing slip is removed and a copy is made.
- The original packing slip is placed in the Business Office in-box for delivery to the the Fiscal Specialist.
- A copy of the packing slip will be placed with the order.
- The equipment is inventoried and marked.
- In addition, the items will be entered into the CSS database and marked with the appropriate CSS Inventory Number and go through an acceptance check if necessary. Some things such as computers from Dell don't need to be checked by the Tech Services Group but most other pieces of equipment are analyzed.
- The ticket iStatus is updated to Inventoried
- The packing slip copy and equipment are delivered to the purchaser.
- The ticket is Resolved by ticket owner (CSS Inventory Person).
3: If the item is over $2,000 (including tax and shipping:
- The procedure for Process Two will be followed.
- The item must be entered into the UW's Oasis Inventory System and tagged with a UW Tag number in addition to the CSS number.
